Choose a Frappe partner who understands your work

At a glance
A good implementation partner makes Frappe ERP useful at the receiving desk and in the finance office. Look for a team that can turn your approval policy into a working process, reconcile your opening balances and hand over a system you can maintain. Use the same practical tests to evaluate ERPNova.
Start with daily work
A short delivery should give your buyer a clear next step, not another email chain. Frappe ERP provides configurable approvals and role permissions to put decision-making into the process. The right implementation partner connects those tools to your policy. Start the conversation with a real order and ask the delivery lead to show how your team would resolve it.
Meet the consultant who would configure receiving. Ask them to walk through a partial delivery, the supplier invoice and the approval decision using your records. You are looking for a team that explains the work in terms your buyer and controller can both use, with a written answer for any step that needs further design.
Put your rules to work
Frappe ERP lets you define approval workflows and role permissions around your business rules. Use that flexibility to make purchasing authority clear: who approves, at what value, and who takes over during an absence. Ask the partner to demonstrate each decision with the accounts your staff will use.
Ask for a fit-gap: a list of your requirements marked standard, configuration, custom development or external dependency. Each answer should refer to the version you will use. For custom work, request an acceptance test and a maintenance owner. For an external dependency, name the supplier.
A useful test is cancellation. Frappe documentation warns that an approval workflow overrides the normal Save and Submit flow, and cancellation must be included as a transition when needed. Ask the consultant to reverse an approved document using an ordinary user account. A happy-path demonstration would miss that detail.
Start with trusted balances
Frappe ERP's standard Data Import tool accepts CSV or Excel records and reports validation warnings. That gives your team a repeatable way to bring existing records into the new system. Pair the import with finance-approved control totals so launch starts with balances people can explain.
Ask for a rehearsal that includes duplicate suppliers, open orders and outstanding invoices. Finance should define the control totals and approve the differences. Operations should verify stock by warehouse, including goods that cannot be sold. Decide whether old transactions will move or remain in a controlled archive.
Request the mapping file as a deliverable. It should connect the old identifiers to the new records so someone other than the original consultant can investigate a disputed balance. If the proposal excludes data cleansing, name the person on your side who has time to do it.
Worked example (hypothetical, not an ERPNova result): your source ledger has USD 120,000 in open customer invoices. The rehearsal loads USD 117,500. The difference is USD 2,500, even if the invoice count matches. Ask the delivery team to trace that difference to individual records and show the correction. Do not approve the load because most of the balance arrived.
Make support fit your hours
For a US or Canadian business, a delivery schedule needs explicit working-hour overlap. A Malaysian warehouse has a different operating day. Ask who attends the receiving test and who answers a blocking incident during your own shift. An office address does not answer either question.
Request a named decision owner on both sides. Your finance controller should approve accounting policy; your implementation lead should explain its system consequences. Do not allow an unresolved policy question to become an undocumented developer assumption.
- Ask the proposed consultant to run your exception scenario without a sales presenter taking over.
- Review a sample issue log. It should distinguish a defect from a request to change agreed scope.
- Get the backup contact and escalation route in writing, including hours of coverage.
- Who can postpone launch when opening balances do not reconcile? Name that person before the schedule becomes political.
Keep control after handover
Frappe ERP publishes its source under GPL-3.0, giving you access to the code behind your system. Make that access useful at handover: agree which custom repositories, third-party contracts and deployment credentials your team receives. Those project deliverables need explicit terms of their own.
Ask how custom code is stored, which tests protect it during upgrades, and how another maintainer would restore the system. Request a documented backup-and-restore exercise as a scoped activity. A backup file that nobody has restored is weak evidence of recoverability.
