Start with a real order
Your planner needs the right components on the next job. Your buyer needs a reason to reorder, and finance needs to explain what a customer still owes. Frappe ERP documents tools for each of those jobs. These ten tests show how to turn the feature list into useful control over daily work.
Give your implementation team sample records and an expected result. Ask an operator to repeat each test after configuration, then record any code or setup needed. 1. Plan connected assemblies
Frappe ERP documents multi-level bills of materials, so you can describe a finished item and the subassemblies it needs. That gives your planner a product structure to work from rather than separate component lists. Use a familiar assembly in the demonstration and ask which BOM a new Work Order will use after a component changes. Check already released orders separately; the structure and your revision policy must agree.
2. Follow production progress
Frappe Work Orders specify the quantity to manufacture and connect a BOM to material requirements. Your production team has a defined job against which to review materials and output. Test a partial completion and a damaged component, then ask the operator to show what remains open. Have finance identify the entries it will use to explain the cost. Agree when staff record each movement, not just who closes the order.
3. Make replenishment explainable
Frappe ERP can generate Material Requests when configured stock thresholds are reached. This gives buyers a repeatable request process instead of relying on someone remembering to send an email. Start with on-hand stock and an outstanding supplier order, then inspect the proposed requirement. Ask the buyer to explain it using the configured rules. Review an urgent shortage separately so the team knows when to intervene rather than accept a request without checking.
4. Explain material usage
Frappe's BOM documentation distinguishes consumption based on the BOM from consumption based on transferred material. You can choose the recording approach that matches the evidence available on your floor. Issue extra material and return the unused portion during the test, then inspect the quantities charged to production. Agree how remaining work in progress is treated. A closed order should leave finance with an explainable usage figure, not an assumption that every transferred piece was consumed.
5. Put authority into approvals
Frappe workflows define states and transition conditions. Use them to put your purchase-approval policy into the transaction, so staff have a defined route to a decision. Name the substitute approver and test rejection as well as approval. Include cancellation explicitly: Frappe documentation explains that a configured workflow replaces the normal Save and Submit flow. Sign in with ordinary accounts to prove who can move the document to each state.
6. Give each role access
Frappe provides role permissions and document-level restrictions. You can separate the work someone needs to do from records they should not change. Sign in as a warehouse operator who must receive goods but must not edit supplier bank details. Repeat the test using a direct record link, and check a user from another entity where relevant. Document the intended access before configuration so the result is a business control, not an administrator's preference.
7. Capture the right details
Frappe Customize Form supports custom fields and form-property changes. Add the external order reference your support staff need to investigate a delivery, or information your buyer otherwise keeps in a separate sheet. Give each field an owner and a clear purpose. If it is required, import an order without it and document the validation result. Check printed output and exports too; the value should remain useful after the initial form entry.
8. Make data loads repeatable
Frappe's Data Import tool supports CSV or Excel imports with validation feedback. A documented template gives your team a repeatable way to load records and review rejected rows. Test a parent record with several detail rows and a duplicated identifier. Preserve child-row ordering, as the documentation requires, and inspect the resulting document. Keep the mapping and correction log so the next rehearsal follows the same rules rather than another round of manual spreadsheet edits.
9. Separate company records
Frappe documents separate Company records and base currencies. That gives a group a defined structure for entity-specific accounting rather than treating every branch or subsidiary as the same business. Post a purchase in the intended company and review the entity defaults with finance. Repeat the access test with an unauthorized user. Check shared master data separately from transactions; multi-company capability still needs local tax review and a tested group-reporting design.
10. Trace finance balances
Frappe documents General Ledger, profit-and-loss and receivables reports. Use them to give finance an amount it can trace to the underlying postings. Pick an outstanding customer balance and have the controller explain it from the source records, using the same dates and company scope throughout. Reconcile the entries before judging the chart. Save that test as a close procedure your team can repeat after migration or an upgrade.
Receivables example (hypothetical, not an ERPNova result): enter an invoice for USD 12,000, allocate a USD 4,500 payment and apply a USD 1,000 credit note. The remaining receivable should be USD 6,500, assuming no other adjustments. Ask your finance team to trace that amount to all three documents. A matching chart is not enough if an operator cannot explain the balance.
Turn features into a rollout
Your Frappe scorecard should show pass, configuration needed, custom development needed or unresolved, with evidence beside each result. Give a mandatory operational control more weight than a convenient screen. An unresolved legal requirement needs a separate decision, not an average score that hides it.
